Job Description:

  • Administrative Support:

    • Manage and maintain the Director's schedule, including appointments, meetings, and travel arrangements.
    • Prepare and edit correspondence, reports, presentations, and other documents as needed.
    • Handle incoming and outgoing communications on behalf of the Director.
  • Meeting Coordination:

    • Schedule, coordinate, and prepare materials for meetings.
    • Take and distribute minutes of meetings.
    • Follow up on action items from meetings.
  • Office Management:

    • Ensure the smooth operation of the executive office, including maintaining office supplies and equipment.
    • Organize and maintain confidential files and records.
    • Handle routine office tasks such as filing, data entry, and answering phone calls.
  • Communication:

    • Act as a liaison between the Director and internal/external stakeholders.
    • Screen and prioritize phone calls, emails, and other communications.
    • Draft and proofread correspondence and communications.
  • Project Assistance:

    • Assist with special projects and initiatives as assigned by the Director.
    • Conduct research and compile information for reports and presentations.

Qualification Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 3-5 years of experience in an administrative or executive support role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and problem-solving abilities.
  • Ability to multitask and prioritize effectively.
  • Professional demeanor and appearance.
  • Strong interpersonal skills and the ability to work collaboratively.
