Responsibilities:

  • Provide high-level administrative support to the Senior Deputy Managing Director, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare, organize, and manage documents, reports, and presentations required by the Senior Deputy Managing Director.
  • Handle incoming communications, including phone calls, emails, and correspondence, prioritizing and responding on behalf of the Senior Deputy Managing Director when necessary.
  • Coordinate and liaise with internal and external stakeholders, including senior executives, department heads, clients, and partners, ensuring effective communication and follow-ups.
  • Assist in preparing internal and external meetings, conferences, and presentations, including organizing materials and taking meeting notes.
  • Track and manage ongoing projects, ensuring deadlines are met and progress is effectively communicated.
  • Organize and maintain office filing systems for efficient document access and management.
  • Conduct research and provide relevant insights to support decision-making.
  • Maintain confidentiality of sensitive information and exercise discretion in handling executive matters.
  • Assist with ad-hoc tasks and projects as directed by the Senior Deputy Managing Director.

Qualifications:

  • Fluent in Chinese.
  • Bachelor's degree in Business Administration, Management, or a related field.
  • Minimum of 1 years of experience as an Executive Assistant or in an administrative support role, preferably in a corporate environment.
  • Proficiency in Microsoft Office Suite and the ability to learn new tools quickly.
  • Strong attention to detail with a proactive and problem-solving mindset.
  • High level of discretion and confidentiality in handling sensitive matters.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent interpersonal and communication skills with a service-oriented mindset.
