Responsibilities

  • Organize, prepare, and manage business and general management documents.
  • Coordinate between departments to ensure efficient and smooth internal operations.
  • Oversee and manage meeting schedules, including preparation of supporting documents.
  • Record and follow up on meeting minutes, including board meetings and other company activities.
  • Coordinate executive travel arrangements, such as booking accommodations and scheduling meetings.
  • Liaise with external parties, including government agencies and business partners, as required.
  • Handle professional communication via email and phone to support company operations.
  • Manage company expenses and oversee reimbursement processes in line with company policies.
  • Perform additional duties as assigned by management to support company objectives.

Qualifications

  • Proven experience in an administrative role.
  • Strong organizational and multitasking skills.
  • Excellent communication in English, both written and verbal. (Japanese skill is preferred)
  • Proficiency in using office software (e.g., MS Office, email platforms).
  • Attention to detail and the ability to handle confidential information with discretion.
