Key Responsibilities (including activities)

Process Development

  • Contribute to the creation and enhancement of global tender processes and procedures in alignment with company strategy, aiming to improve the success rate of handled activities.
  • Identify opportunities to streamline and optimize the global tender processes.

Global Tender Support

  • Respond to customer RFQs (Requests for Quotation) accurately and in a timely manner, including tasks such as:

    • Analyzing volumes,
    • Coordinating responses to RFIs (Requests for Information),
    • Performing CO2 and sustainable fuel calculations,
    • Providing tailored support to Tender Managers.
  • Facilitate the RFQ compliance process and take ownership of the Terms & Conditions Check (TACC) process.

Agent Tenders

  • Manage the tender pricing process for agent tenders, ensuring alignment with global tender policies and collaborating with Tender Managers for accurate and timely tender handling.
  • Coordinate pricing responses from agent countries for global and regional tenders, ensuring timely and quality submissions.

Global Spot Quote Desk

  • Manage the Spot Quote KPI by targeting the right customers. In collaboration with the Team Leader:
    • Regularly assess (via monthly reports/calls) the customer portfolio, identifying opportunities to replace less promising customers with more viable ones, and implement changes as appropriate.
    • Enhance hit rate and revenue by challenging Product/Procurement teams, quoting countries, and Account Managers on the competitiveness of their quotes.
    • Discuss and review spot quote results with customers.

Management Information & Reporting

  • Administer and report key information (standard or requested reports) and results related to tender support and spot quote activities.
  • Utilize global applications to gather and present relevant data.

Leadership

  • Guide, develop, and motivate direct reports in alignment with HR policies and organizational goals to ensure the necessary quality and quantity of staff for current and future needs.
  • Ensure compliance with HR policies within the team.
  • Lead the performance management process, including performance appraisals and mid-year reviews.
  • Identify and support team and individual development needs, ensuring follow-up and execution of growth plans.
  • Foster team commitment to business vision, mission, and values, serving as a role model and ambassador.
  • Inspire, engage, and develop all direct reports through transparent and trustworthy communication.
  • Regularly communicate strategic goals and business results, engaging in open dialogue.
  • Ensure the implementation of training programs in collaboration with HR.

Additional Remarks

  • Some international travel may be required.
