JOB PURPOSE:

  • To manage all aspects of Human Resource functions at the School from the recruitment of staff to the visa and work permit application process for overseas staff and the maintenance of the school's HR database and staff files. This includes providing advice and counsel to the Senior Management Team (SMT), Directors, Managers, and employees reflecting Human Resources policies and procedures.

KEY RESPONSIBILITIES:

Staff Management

  • Ensuring that the Visa and Work permit for Expat staffs and/or Teachers are well managed and 100% correct.
  • Developing, Designing and Executing the Induction Program to Non-Academic team and all new staff.
  • Reviewing the induction checklist for new overseas teachers who are on-board, ensuring all tasks have been carried out completely.
  • Ensuring probationary targets are set when a new employee starts working, and that probationary appraisals take place promptly.
  • Prepare and communicate, execute and monitor all HR policies and procedures.
  • Manage, update and ensure accuracy of staff database.

Talent Acquisition

  • Plan and implement the recruitment process for all vacancies, using agreed processes and within the recruitment budget. Liaise with the recruitment agencies, ensuring documentation is provided in timely manner. Manage agency service level agreement and turnaround times. Advise managers on the recruitment process, to ensure compliance with legal requirements and best practice to achieve positive outcomes.
  • Oversee corporate services staff involved in HR activities.
  • Manage all aspects of the staff recruitment process.
  • Prepare effective recruitment materials including job descriptions, person specifications, advertisements and information packs for candidates which reflect the school in a positive light.
  • Manage the interview process and timetable of the interview day (ensure interview records are kept in line with School requirements -ensuring at all times the school is reflected in a positive way.
  • Ensure effective communication with candidates throughout the interview process. Upon appointment arrange for the appropriate documentation to be completed and statutory requirements (including safeguarding checks) met.
  • Service the short-listing panel and provide them with references and other documentation as required.
  • Manage all aspects of the visa and work permit process for all staff employed on overseas contracts.

Talent Development (Training)

  • Devise and implement an organization training plan, including researching suitable training providers, coordinating training delivery and evaluating the effectiveness of the programmes. Liaise with professional development bodies and networks to disseminate opportunities for professional development and training events, exploiting the offers of free places wherever possible for the Senior Management, Directors, Managers and Staffs in school.

Others Personnel Functions

  • To maintain an effective and efficient database using the school's MIS system (WCBS) for all School, personnel routines and systems including:
  • Staff Personnel Files including confidential matters
  • Teacher Lesson Observations
  • Staff Performance Management
  • General Matters
  • Create and update database of all staff salary benefits records.
  • Maintain an up to date library of Job Descriptions for all staff.
  • To prepare and distribute renewal of contracts for all education and administrative staff as appropriate.
  • Point of contact for queries and implementation of flight benefits for all staff.
  • Maintain up to date records of all staff contracts.

Welfare & Safeguarding

  • Manage procedures to ensure that the safeguarding of children (including the maintenance of a single central record), reporting to the senior leader responsible for Welfare and Safeguarding.
  • Manage the probationary period review for all staff in liaison with the Principal or the relevant member of staff's line manager.
  • Manage the performance management process as it applies to teaching and support staff, ensuring that the Principal has access to up-to-date files at all times.
  • Administer the professional development of all staff within the school's training budget.
  • Coordinate staff training needs following performance management interviews (both teaching and support staff).
  • Ensure all staffs child protection training is up to date and reviewed annually.
  • Coordinate and support the Principal and Senior Leadership Team in setting up in-school training events.

Staff Rota, Leave and Absence Management

  • Work with the Director of Accounting and Finance to ensure that all necessary information for the monthly staff payroll is prepared in an accurate and timely manner.
  • Maintain the staff muster roll and record of leave applications and provide the Principal, Director of Accounting and Finance and SMT with a monthly staff absence report.
  • Track and monitor staff absence.
  • Manage absence controls including return to work interviews, setting up additional support meetings, etc. as required.
